Define what you need to know
Begin with the intended work: the counterparty, the service and the decision your team is making. Public registration data cannot answer every commercial or operational question. Name the separate evidence you need before opening a lookup.
Keep each check tied to evidence
Use this as an operational worksheet, adapted to your own process. It is not a certification standard.
- Entity: record the USDOT, docket and legal name, including any mismatch in submitted documents.
- Source facts: save the field value, source and check time; read authority separately from registration.
- Contact: establish that the person communicating belongs to the intended entity.
- Commercial requirements: obtain the documents and confirmations needed for the specific work.
- Open questions: assign a person and next action to each unresolved discrepancy.
Investigate overlaps without making accusations
A shared address or phone can guide a follow-up question. Compare exactly which field matches and when it was observed. A single match does not prove the businesses share ownership, management or conduct.
Decide what deserves another check
An initial review is a dated observation. Record what you would recheck if contact details, instructions or source facts change. Baseline’s future monitoring is intended to support that follow-up, but scheduled monitoring is not available in this release.
