Data / Baseline field notes

Carrier data sources, coverage and freshness

Every record has a source. Every snapshot has a limit.

Selected records, not a nationwide census

The coverage panel below reports the actual stored record count and retrieval timestamp. It is a selected public-data snapshot, not a complete list of US carriers. Directory totals describe that snapshot only.

Lookup can request additional records from the public source. A failed request is not evidence that a company does not exist. Related-record matching is limited to the held snapshot and does not establish that no other matches exist.

Read the source beside the field

Company identity, contact details and reported fleet or cargo fields come from the Company Census File. Authority rows and source-dated authority history are separate datasets. Registration status and operating authority are different fields.

A reported cargo category does not confirm equipment, present capacity or service territory. A physical address is a registered location, not a coverage map. Insurance filing details are not displayed as verified coverage in this release.

Retrieval time is not an event date

Retrieved at means when Baseline obtained a source response. A source event date describes an event recorded by FMCSA. An MCS-150 date describes a registration filing date. These timestamps answer different questions.

Opening a page does not, by itself, update the stored browsing sample. Additional source requests can also fail. Check the displayed time and follow the official record when freshness matters. No real-time or guaranteed daily update service is promised.

Connections are derived, not accusations

Baseline compares normalized phone and physical-address values within the held records. A matching value is a connection for further review. Shared offices, administrative services and ordinary business relationships can produce overlaps. The match is not a finding of fraud or common ownership.

Correct the source; keep the evidence

If a field is wrong, compare the Baseline value and retrieval time with the official record first. Record the USDOT number, field, source URL and the two values so the discrepancy can be reproduced.

A carrier can use FMCSA’s registration update process for its source record. Baseline does not edit FMCSA data. A source correction may not appear here until a new snapshot or source response is obtained.
