Organize carrier onboarding around clear records

Good onboarding leaves the next person with a usable record, not a folder of unexplained attachments.

Create one reference for the entity

Use the USDOT and relevant docket as stable references in your working record. Keep the legal name and any trading name alongside them. When paperwork uses another name, document the explanation rather than overwriting the public identity.

Give every document a job

For each document your organization requests, state what it is meant to establish, who reviews it and where the conclusion is kept. A public lookup is not a replacement for transaction-specific documentation.

Keep commercially sensitive documents within your own approved systems. The public Baseline website has no onboarding upload or document store.

Make the handoff actionable

An unresolved item should identify the discrepancy, the person responsible, the next check and the result needed to close it. Avoid an unlabeled “pending” folder that gives the next teammate no way to proceed.

Keep onboarding and watching separate

A future watchlist would select public entities for updates. It would not import your approval decisions, onboard the business or certify its status. Store your organization’s commercial decision separately from the regulatory record and any update-review mark.
